People who write electronic medical records for their units

Currently, hospitals in the province have implemented electronic medical records, and most of them have to hire outside companies to do it. Only Phu Yen Eye Hospital has electronic medical records written by the unit's own IT engineers.

In early 2025, two IT engineers of Phu Yen Eye Hospital, Doan Nhat Lam and Nguyen Ngoc Thinh, were assigned to upgrade the hospital management software into electronic medical record software to serve the construction of a digital hospital at the unit. In less than 6 months, a new electronic medical record software was completed. After a trial period, in September 2025, the electronic medical record of Phu Yen Eye Hospital was approved by the appraisal council with 100% consensus.

Doctor CKI Huynh Phuc Nhi, Director of Phu Yen Eye Hospital, said: “The people who write the electronic medical record software for the unit are also long-time employees of the hospital. They understand all the administrative procedures and operations of each department and room. Above all, they understand the concerns of patients when they come here for examination and treatment, so when assigned to write the software, they worked with all their intelligence, emotion and responsibility to the patients, the unit as well as the health sector.”

During the 6 months of devoting all their efforts to writing electronic medical records, the staff of the Information Technology Department hardly had a full night's sleep. Engineer Doan Nhat Lam shared: "I, like my colleagues in the department, had to complete professional work at the office and also complete electronic medical records. Working late at night was normal, there were no days off, including holidays or weekends. The computer was always lit, and we communicated with each other regardless of day or night."

According to engineer Nguyen Ngoc Thinh, in the process of writing the software, they aimed for 4 goals. That is to improve the quality of medical examination and treatment; optimize the management of records; increase convenience for patients; meet the requirements of national digital health transformation. Up to now, from the stage of receiving patients to examination, treatment, and drug dispensing, all have been converted to digital data, helping to better manage the disease and not lose treatment information. In particular, due to the characteristics of patients who have eye problems and limited vision, the electronic medical record writers of Phu Yen Eye Hospital have put the fingerprint treatment confirmation procedure into operation, integrating with the chip-embedded citizen identification card, thereby digitizing patient information data not only quickly but also accurately.

At the electronic medical record assessment session of Phu Yen Eye Hospital, Doctor CKII Pham Minh Huu, Deputy Director of Dak Lak Department of Health said: “When inspecting the digital hospital operation process of Phu Yen Eye Hospital, at first I thought that the hospital's IT specialist would face limitations when converting the idea to electronic digitization. Because although I understand the process and expectations in hospital operations, the expertise in digitizing data into software cannot be as high as that of a specialized IT unit. For this reason, many medical units choose to hire software companies to write electronic medical records. But in reality, the electronic medical records of Phu Yen Eye Hospital operate well, can integrate both digital signatures and fingerprint biometrics in parallel in completing medical examination and treatment records for patients; medical examination results are scanned and printed directly after scanning the code without having to separate them into two separate stages...".

“In the coming time, we will continue to research and edit to make the software more and more complete, becoming one of the highly effective software in the national electronic medical network,” added engineer Nguyen Ngoc Thinh.
