AI helps businesses systematize their operations
AI is no longer a simple tool for synthesizing and extracting information as before, but has the ability to analyze data in many different dimensions. More importantly, AI does not only give forecasts and recommendations as a subjective opinion for us to refer to, but it can learn by itself, thereby providing analysis suitable for the field, region, service, and manufacturing industry of each enterprise.
“Many AI tools seem to have far surpassed the capacity of a normal individual in the ability to collect and analyze data, even going in directions we have never thought of,” said Mr. Nguyen Thuong Tuong Minh , CEO of Base.vn Vietnam. In 10 years of helping businesses transform digitally, Mr. Minh said that small and medium enterprises (SMEs) often face financial challenges and limited management capabilities.
Currently, SMEs have to compete fiercely with large, powerful enterprises. This makes it difficult to expand the market and reach potential customers. If they want to participate in the global supply chain, businesses have to face many difficulties due to limitations in technology and human resources.
SMEs are also the ones with many gaps in management, because these businesses often focus on promoting business to gain profits without focusing on the operating system (in terms of human resources structure, processes, policies, culture). This can cause the operating system to be fragmented and easily "collapsed" when increasing in scale or under great work pressure.
AI applications will help SMEs systematize their operating systems, thereby making it easier to react flexibly. Regarding costs, Mr. Minh emphasized that AI is developing at a "crazy" rate. If 10 years ago it was "a luxury" only for large corporations, now many SMEs can access the technology to apply to management.
The problem is how businesses apply it effectively, in which the leader's mindset and the staff's knowledge of AI operations are emphasized by experts.

Mr. Nguyen Van Giau - Director of E-commerce Fahasa - said that in the context of the increasingly competitive retail industry and rapidly changing consumer behavior, the company is forced to undergo comprehensive digital transformation, especially in the field of book and stationery distribution in Vietnam.
Mr. Giau said that businesses have AI applications to be able to suggest personalized products according to the behavior and needs of each customer, perform smart searches combined with AI; analyze big data to promptly grasp consumer trends as well as market tastes...
The company also invested in a comprehensive ERP system to synchronize inventory and orders nationwide, optimizing operational efficiency.
Thanks to the application of technology, revenue from online channels grew exponentially in the period 2015-2020. From 2020 to now, this company has continued to maintain an average growth rate of 50% per year for 5 consecutive years.
AI helps businesses save costs and time
Referring to the issue of applying AI in management, Ms. Vu Thi Huong Lan - Deputy General Director of Vntrip Technology Company Limited - said that AI has been deeply integrated into many core operating processes, from recruitment, administration, finance to customer care.
Thanks to AI, this business saves a lot of costs and time. For example, in recruitment, AI supports filtering candidate profiles according to the criteria of the job description. Only profiles that meet the appropriate level of over 80% are transferred to the HR department for checking and scheduling interviews. This helps reduce the workload of CV screening by about 50%.
Or in the field of cost management and accounting, AI checks the validity of invoices, authenticates issuer information, compares with the expense list, and automatically creates a complete set of expense records. This helps the accounting department reduce the workload of checking and synthesizing documents by up to 70%.
Ms. Huong Lan said the company also uses AI in customer care, supporting customer email responses... AI also supports this unit in the decision-making process, especially in stages such as approving work, choosing spending options or adjusting budgets by giving specific suggestions based on real data.
In the logistics sector, Gozo Express - which has attracted attention with its expansion plan through the purchase of 2,000 VinFast trucks from billionaire Pham Nhat Vuong - is also actively applying technology to not only save costs.
Sharing with Dan Tri newspaper reporters , Gozo representatives said they are applying technology to the entire operational chain from post office management, delivery routing, driver team management to real-time order tracking system. The company also integrates CRM platform and smart logistics management system, allowing data optimization according to each route, area and customer needs.

“In the logistics game with big competitors, we consider technology to be a strategic lever for development. We do not follow the digitalization trend to “equip technology” but invest in building a standard platform from the root: from brand - operating standards - co-operation philosophy - to a transparent franchise model”, Mr. Phan Duy Minh - CEO of Gozo - emphasized.
Business barriers
Besides the benefits brought by AI, Ms. Huong Lan said that businesses also face two main barriers: data and people.
In terms of data, AI needs to “eat” clean and consistent data for training. But in reality, business data is often scattered, unstandardized, and has no synchronization process from the beginning. Vntrip had to spend time restructuring its internal data system.
On the human side, there is a fear among the workforce. Many employees are afraid of being replaced or having to learn new skills. To address this, businesses are not only implementing AI, but also designing training courses for all employees. Even non-tech groups such as operations, customer care or administration are proficient in using chatbots and AI tools.
For technical teams like programming, product building and internal systems are encouraged to adopt AI in accelerating development, testing and operations.
“We determined that applying AI cannot be successful if we only change tools, but also need to change working mindset and organizational culture,” shared a representative of Vntrip.
But thanks to organizing internal courses, from chatbot skills, writing effective prompts, to how to combine AI in daily work processing, change began to take place in a very positive direction at the business.
In addition to the young, fast-approaching workforce, the veteran workforce is also gradually adapting, especially when they clearly see the practical benefits of saving time and reducing manual operations.
