The Conference Organizing Committee was established with three specialized sub-committees: Reception, Finance and Logistics Sub-committee; Security and Health Sub-committee; Content and Communications Sub-committee. Each sub-committee issued specific working regulations, clearly assigning responsibilities to each member to ensure smooth coordination.

Logistics, especially the preparation of the venue, is gradually being completed. Volunteers have been mobilized and thoroughly trained to be ready to support guests throughout the conference.

At the same time, the Vietnam Sports Administration has closely coordinated with the ASEAN Secretariat to agree on the working program. Official invitations have been sent to 10 ASEAN member countries, Timor Leste, and important partners such as Japan, China, and international organizations including FIFA and WADA.
